Introduction
QR codes, forms, campaigns, links or polls? Plain answers on what each Trusted Rw tool does and which one fits your business.
Which Trusted Rw tool fits your business? Business owners in Rwanda ask us the same handful of questions again and again: what each tool does, which one to start with, whether customers need an account, and who gets to see the answers. This page answers them in plain language, one tool at a time, so you can pick the right one for the job in front of you.
Trusted Rw gives a business five feedback tools beyond its public profile: QR Codes, Forms, Campaigns, Links and Polls. They all serve one idea: hear from customers more often, in the way that suits them, and use what they say to serve them better.
The quick answer: which tool for which job?
- You serve people face to face (a restaurant, clinic, salon, bank branch, hotel reception): start with QR Codes.
- You need detailed answers (a customer satisfaction survey, a patient experience questionnaire, an event evaluation): use Forms.
- You have a list of past customers' emails and want more of them to review you: run a campaign.
- You sell several products or serve several branches and want to know which one earns the best reviews: create Links.
- You want a fast opinion on one question (a new menu item, opening hours, a product colour): post a poll.
Most businesses start with one tool, see results within a few weeks, then add a second. There is no need to switch everything on at once.
QR Codes: feedback at the counter
What does the QR Code tool do?
It creates a printable code linked to your business. A customer points a phone camera at it and lands straight on a short feedback page. You can print it on a table card, a receipt, a reception desk sign, a delivery bag or the back of a business card.
Who is it best for?
Any business where the customer is physically present: hospitality, health, retail, banking halls, transport offices, public service counters. The moment of service is when people have the clearest opinion, and a QR code catches it before they leave.
Can I have one code per branch or per counter?
Yes. Separate codes for each branch, floor or service point show you exactly where praise and complaints come from, instead of one blended score that hides the weak spot.
Forms: surveys and questionnaires
What is a form?
A survey builder for questions you write yourself: ratings, multiple choice, short and long text answers. Use it for customer satisfaction surveys, staff-to-customer evaluations, training feedback, event evaluations or any structured questionnaire.
Are form responses public?
No. Responses to a form are private to your business and appear in your own dashboard. This is what makes forms suitable for hospitals, banks, schools and government offices that want honest internal feedback without publishing it. Your public reviews and your private feedback are two separate things, and you keep both. We explain why both matter in our guide to collecting customer feedback and getting more reviews in Rwanda.
How long should a form be?
Short. Five to eight questions finished in under two minutes on a phone get far more completed answers than a twenty-question survey. Ask only what you will act on.
Campaigns: asking past customers for reviews
What is a campaign?
A review request sent by email to customers you have already served. You choose who receives it and when: right after a service, a set number of days later, or on a schedule. Each email invites the customer to share their experience on your Trusted Rw profile.
When is a campaign better than a QR code?
When your customers are not standing in front of you: online shops, consultancies, schools contacting parents, insurers, internet providers, any business that serves people remotely or over a long contract. It is also the fastest way to turn years of satisfied customers into public reviews.
Will customers find it annoying?
Not if you ask once, at the right moment, and keep the message short and personal. Every campaign email includes an unsubscribe option, and you can see how many people opened it and went on to leave a review.
Links: one link per product or channel
What is a review link?
A dedicated review link you can name after a product, a service, a branch or a channel, then share anywhere: WhatsApp, Instagram bio, an invoice, an SMS you send yourself. Every link counts its own clicks and reviews.
Why not just share my profile link?
Because one profile link cannot tell you which product customers love most or which channel brings the most reviews. With separate links you can compare them side by side and put your effort where it works.
Polls: one question, fast answers
What is a poll for?
Quick decisions. Ask a single question with a few options and watch the votes come in. It suits menu changes, opening hours, event dates, new product names or a simple "how did we do today?".
Can I share a poll by email?
Yes. You can share the poll link on social media and messaging apps, or send invitations by email from your dashboard. You also decide whether voters see results before or after they vote.
Questions that apply to every tool
Do my customers need an account or an app?
No app is needed. Every tool opens in an ordinary phone browser. For most uses customers can respond without creating an account, and where you prefer only signed-in responses (a poll, for example) you can switch that on.
Does Trusted Rw filter out bad reviews for paying businesses?
No. Paying for a plan buys tools, never a better rating. A customer who wants to post a public review can do so, and a customer who prefers to tell you privately can do that instead. That independence is the reason customers believe the scores they read on Trusted Rw.
Which plan includes which tools?
Plans differ in which tools are switched on and how much you can use each one, such as the number of QR codes, forms or campaign recipients. The current plans and prices are on the Trusted Rw pricing page.
Can I download what customers tell me?
Depending on your plan, you can export form responses, campaign results, link reports and poll results to work with them in a spreadsheet or share them with your team.
Where do I start?
- Make sure your business is on Trusted Rw and that you control its profile. Our guide on how to claim your business on Trusted Rw walks through it.

- Run it for a month, read every response, fix one thing customers mention, and tell them you fixed it.
Why the tools matter beyond your own business
Each of these tools does something small: a scan at a counter, a two-minute survey, a single poll question. Added up across thousands of Rwandan businesses, they become a habit of listening, and listening is where better service starts. We set out that bigger picture in can Rwanda achieve service excellence?, and how to respond when feedback is a complaint in our guide to handling customer complaints and service recovery in Rwanda.
